Trades Collections and Cash Flow Digital Worker
What this is. A document for trades owners losing real money to overdue invoices. Built to run alongside the Trades Office Manager, or on its own. If you skim one section, skim "Where it connects" and "Guardrails."
Who this is for
Trades owners who are constantly:
- Chasing overdue invoices instead of running jobs
- Forgetting who owes what
- Letting small balances pile up and squeeze cash
- Avoiding the awkward "your invoice is overdue" call

What this worker does
A Digital Collections Assistant that:
- Watches your job or accounting system for unpaid balances
- Sends polite but firm reminders on a cadence you set
- Logs every contact attempt back into your system
- Tracks promise-to-pay dates and nudges if the customer misses them
- Flags the stubborn payers for your personal follow-up with a one-page timeline ready to read
Where it connects (v1 scope)
Same rule as our other workers. We wrap your existing tools. We do not replace them.
What we connect to
- Your invoicing or job platform. Jobber, ServiceTitan, Housecall Pro, QuickBooks Online, Xero, FreshBooks. If your tool has an API, we read invoice status and write notes back.
- Your email and SMS. Reminders go from your normal business sender, not from a third-party "collections" address that customers will ignore.
- Your CRM if separate. So contact attempts show up where you already look.
What we do NOT touch
- We do not collect card data. The reminder messages link back to YOUR existing payment page.
- We do not alter invoice amounts.
- We do not send anything outside the templates you approve.
- We do not threaten, escalate to collections agencies, or use anything close to that tone. Your name is on this. We protect it.
Why this matters. The collections game is reputation-sensitive. One badly-worded reminder and you lose a referral source. We treat every message like you are sending it yourself.
Core workflows
1. New invoice to follow-up sequence
- Detects when an invoice is created in your system
- Starts a multi-step reminder sequence on a cadence you set (typical: 3, 7, 14 days past due)
- Uses your tone. Polite but firm. Not collections-agency aggressive
- Logs every send back into your invoicing or CRM system as a note
2. Promise-to-pay tracking
- When customers reply with "I will pay Friday," the worker logs the promise date
- Nudges on that date if the invoice is still unpaid
- If the customer pays before the nudge fires, the sequence stops automatically
3. Escalation and handoff
- After N failed attempts (you decide N), the worker flags the account in your system with a tag or note
- Generates a one-page summary for you. Timeline of attempts, balance, last contact, customer's last reply
- You decide next step. Call, small claims, write-off, or hand to your accountant
Guardrails and limits
- Only touches invoice-related communication. The worker does not message customers about anything else. Scope stays tight.
- Does not alter invoice amounts. Read-only on the dollar figures.
- Approved templates only. Every outbound message comes from a template you signed off on.
- Read-write on notes and tags only. The worker can add notes and tags in your system. It cannot delete or edit invoices.
- Daily summary email to you. Every morning, a one-pager of what the worker did the day before, what is in flight, and what is flagged for your personal follow-up.
Testing plan (30 days)
- Week 1. Read-only connection to invoicing. Pull the last 10 overdue invoices and simulate the full sequence. No real sends. We tune tone, cadence, and edge cases against your actual data.
- Week 2. Real sends on a small subset only. Typical: invoices 7 to 14 days overdue, no others. You review every outgoing message before it goes out.
- Weeks 3 and 4. Expand to all overdue invoices under a dollar threshold you choose. Track collection rate vs the prior month. Track time you personally spend chasing. Both should drop.
Go-live checklist
You are go-live ready when every box is checked.
- Read connection to your invoicing system validated
- Write connection (notes, tags) tested without affecting invoice amounts
- Reminder templates approved by you in writing
- Test invoice set run through the full sequence in sandbox
- At least 5 real invoices collected that would otherwise be "forgotten"
- Zero customer complaints about tone or volume
- You have read 3 daily summaries and feel oriented to the workflow
